Enrolment of Exchange Students

You have a partnership and they are coming to stay. How do you enrol your exchange students?

This article is shedding a light on the process and it provides you with the necessary documentation to ensure a smooth process.

Inbound exchange students should be entered under ENROL on “Government-approved school-to-school exchange programme”, under the “visa-domestic” category.

Follow the ENROL tab to be guided through.
Should you have any technical issues there they will need to contact the ENROL team directly (04 463 8383 or email e.admim [at] minedu [dot] govt [dot] nz). 

Schools who are signatories to the Code of Practice for the Pastoral Care of International Students (any school enrolling international students must be a signatory) are able to set up a school-to-school exchange agreement.

There is a short application form (see attached for download in this post), where they guarantee to meet certain criteria around providing pastoral care and support for the inbound students, and that processes are in place for the care of outbound students.

The original of this form (as it includes a statutory declaration) is required as well as  an Memorandum of Understanding with the overseas school (template attached, scanned copies are fine) which helps guarantee care of our students while they are overseas.  

If a school already has a school-to-school exchange scheme (the full list can be viewed here), only a short additional exchange application form and the MoU (this also applies to schools setting up more than one exchange at a time – they can do the ‘master’ form for one school, and additional forms for the rest) are required. Please note the original of this form or MoU is not required.  

Please note - Short term exchanges can be dealt with using school policy and guidelines from international departments re. health and wellbeing of foreign students in homestays. Do check for these existing alternatives.
